Looking for the best CRM for a trade or service business? Compare the features that actually matter, from quotes and jobs to invoices, scheduling and automation.

Paper job sheets can work surprisingly well when a business is small. Everyone knows the customers, the diary is manageable and the person who wrote the note can usually remember what it meant.
The problems appear as the business grows: sheets go missing, handwriting is unclear, office staff wait for paperwork to return, and nobody has a live view of job status.
Before choosing software, map the current journey. What information is captured when the enquiry arrives? What does the operative need on site? What proves completion? What does accounts need before invoicing?
A common mistake is trying to replace every process on day one. Start with customer records and jobs, then add quotes, documents, invoicing and automation once the team is comfortable.
If field staff cannot use the system quickly on a phone or tablet, they will find a workaround. Keep screens simple and only ask for information that has a clear purpose.
You do not necessarily need to import every historic sheet. Decide which customers, open jobs, balances and recent history are operationally useful. Keep older archives safely where required.
Once job information is digital, it can trigger other steps: completion can prepare an invoice, a signature can be added to a PDF, a status change can notify the office, and customer history becomes searchable.
Moving away from paper is not about making a business look more technical. It is about getting accurate information to the right person faster and reducing the admin between completing work and getting paid.
